Terms of Service

Terms and Conditions

Effective 1 January 2024

1. Enrolment and Fees

  • An enrolment form for coaching services must be completed for each student and is available on our website.
  • Enrolment is ongoing. This means your position in a class is secured from term to term. You do not need to re-enroll each term. Written notice is required when ending the enrolment. The enrolment will cease at the end of the current school term following written notice being provided.
  • Fees are to be paid in advance for the school term, and are non-refundable. Alternatively, you may choose to pay the fees fortnightly via direct debit.
  • Your position in a lesson is not secured until payment has been received or the direct debit agreement has commenced.
  • Advantage Tennis Group is a registered Active Kids Provider. Apply for your Active Kids Voucher from Service NSW and email it to us, we will deduct the voucher amount from your next invoice/direct debit.

2. Coaches / Staff and Feedback

  • All our coaches have current Working With Children Checks and we maintain high standards in providing a professional tennis coaching service. We will endeavor to maintain consistency in the allocation of your coach. Changes may be required from time to time due to operational reasons beyond our control.
  • Advantage Tennis Group takes pride of the service provided to our clients, and we welcome respectful feedback on any aspect of your experience.
  • If you are unable to resolve an issue or concern with your coach in the first instance, then please contact Advantage Tennis Group on 02 8880 8880 and speak to one of the Directors.

3. Missed Lessons and Make Up Policy

  • If your lesson is cancelled by Advantage Tennis Group for any reason, you will be provided with the opportunity to book into a make-up lesson within the same term. Make-up lesson days will be pre-determined at the start of each term. If the amount of lessons cancelled exceeds the number of make-up lessons days available, then you will receive a credit on your account. No credit will be applied for non-attendance of make-up lessons available.
  • If you are unable to attend your lesson due to illness, and you have notified us before 9AM of the day of the lesson, we will offer you a make-up lesson in a similar standard group lesson, subject to availability.
  • Advantage Tennis Group does not offer make-up classes for players missing sessions or being unavailable to attend their usual class without prior written notice.

4. Poor Weather Conditions (Rain/Lightning/Smoke/Heat)

  • It is the responsibility of the coach to cancel a lesson due to poor weather conditions, including rain, nearby lightning, excessive smoke or heat. These decisions will be made as early as possible, but may be made right up to the time of the lesson, when there is uncertainty in conditions.
  • We may modify lessons appropriately by reducing physical activity on very hot days. If there is extreme heat - over 35 C (WBGT) or ambient temperature 36 C or greater, as recorded by the Bureau of Meteorology (BOM), cancellation of the lesson may occur.
  • Lessons may go ahead in the rain if it is light enough to be deemed safe. Assume classes are running unless you have been notified by SMS otherwise.
  • If a lesson has started and it is cancelled within the first half of the lesson it will count as a ‘cancellation’. If the lesson has progressed beyond ‘half way’ it is deemed to have been completed.

Remember that it might be raining where you are, but not at the tennis courts. If coaches walk on the court to start the lesson and you are not here, no credit or makeup lesson will be given.

5. Parent / Guardian Attendance

  • Our venues have space for parents and guardians to enjoy watching their children participate. We ask that parents remain off the court and avoid interacting with their children during a lesson/activity or event. We've found that our students focus better and learn more when they can be independent without distractions.
  • Parents may assist with picking up balls if their child has a private lesson, and the coach has agreed.

6. Participant Conduct and Behaviour

  • All participants (this includes students, parents and spectators) have the right to be involved in a positive and respectful environment at all times. Any form of abuse, bullying, harassment or other inappropriate conduct of any kind will not be tolerated.
  • Any conduct by a participant assessed as falling outside of being positive and respectful will be managed appropriately. Advantage Tennis Group staff will focus initially on positive guidance and education in these situations where appropriate.
  • If a participant’s behaviour does not improve despite all efforts, the student may have to be removed from the program. This option would only be used as a last resort.
  • Advantage Tennis Group reserves the right to refuse or terminate enrolment if there is a breach of these behavioural guidelines by a participant or parent. Any costs incurred as a result of damaged property will be charged to the parent/guardian. No refund of the program fee will be given to participants removed for breaching the behavioural guidelines.
  • Advantage Tennis Group reserves the right to refuse entry or request any person to leave their venues for behaviour reasonably assessed as being inconsistent with these expectations.

7. Responsibility for children under 18 years of age by Parents and/or Guardians

  • Parents and/or guardians are responsible for the appropriate supervision of their children at Advantage Tennis Group venues when they are not on the tennis court, at their lesson, with their coach. (this requirement for supervision includes times when they may be walking to or from the court from the carpark or are generally within the tennis centre).
  • Staff are not able to supervise children prior to the start time of their lesson or following the end of their class.
  • Children (Under 18 years of age) should always be accompanied by a parent and/or guardian when using any venue facilities outside of their tennis lesson or training session.

8. Indemnity

  • You acknowledge that tennis and other activities or services offered by Advantage Tennis Group are inherently physical in nature and may carry risk of serious injury. By enrolling in, and/or attending the activities services or events, you declare that you or your child (if they are the participant) are medically able to participate in these physical activities.
  • You release and indemnify Advantage Tennis Group and its representatives to the full extent permitted by law in respect of any claim, loss, liability or expense incurred either directly or indirectly from your, or your child’s participation in activities, services or events.

9. Use of images

  • By attending Advantage Tennis Group venues you consent to your (or your child’s) image being taken for legitimate business/marketing/coaching purposes only. This includes but is not limited to use in Advantage Tennis Group related social media platforms or advertising material.
